VPPR Role

What does Public Relations mean and what is the general PR framework?

Understanding Public Relations

Public Relations (PR) is a strategic communication process focused on fostering mutually beneficial relationships between organizations and their audience.

Public Relations Objectives in Toastmasters

As the Public Relations Manager (PRM) or Vice President Public Relations (VPPR) in Toastmasters, your mission is to enhance the positive visibility of the Toastmasters brand to attract and retain members. This role involves effectively communicating with both the public (external audience) and Club members (internal audience) about Club or District activities through various communication channels and media relations. Successful public relations efforts will boost membership and enhance public recognition of our organization.

Means to Promote to the External Audience

Press Releases

Write and distribute press releases about major events of your Club, such as speech contests or charity events, mentioning links to the District 59 Toastmasters International website to provide more information about the organization.

Social Media

Create engaging posts on social media platforms (e.g., LinkedIn, Facebook, Instagram) highlighting the benefits of joining Toastmasters.
Include direct links to educational resources and the membership page on the Toastmasters International website.
Remember to respect Toastmasters’ branding!

Club Website

Ensure that your local Club website is updated with activities and events, while providing quick access to the main Toastmasters International website for additional information on the structure of the organization, educational paths, and member testimonials.
Make sure to update the information on old websites or deactivate them if necessary.

Email Campaigns

Send informative newsletters to former members, prospects, and participants of past events, including links to educational programs and success stories available on your Club website or the Toastmasters International District 59 website.

Media Relations (Radio/TV)

Partner with local media outlets to cover your events, mentioning Toastmasters International as a global organization for leadership and communication development.

Means to Promote to the Internal Audience

Internal Newsletters

Regularly publish newsletters to inform members about Club activities, encouraging them to use Toastmasters International tools such as Pathways, Speechcraft, or the Youth Leadership Program available via the official website.

Club Meetings

Remind members during Club meetings about the resources available on the Toastmasters International website, such as educational manuals, leadership guides, and training videos.

Membership Videos

Create 30-second to 1-minute videos to highlight meetings, special guests, and awards won by members. These short and dynamic videos are a great way to capture attention and effectively promote Club achievements and member engagement.

Online Discussion Forum

Create an online discussion group (for example, on WhatsApp, Slack, or another platform) where members can share interesting articles, tutorials, or announcements from the Toastmasters International website, providing easy access to relevant information.

By systematically linking these efforts to the District 59 Toastmasters International website,
you create a seamless communication ecosystem that enhances the visibility and perceived value of the organization, both for external and internal audiences.
